What is Zimbra email archiving?

The act of moving emails from the inbox to a specified folder generated by the email client is known as Zimbra email archiving. And this folder must be accessible but hidden. It is an incredibly useful feature that allows us to preserve communications that we may need in the future without having to choose between deleting them or having a crowded inbox.

Archive messages for Zimbra accounts

For Zimbra Web Client, a Local Folders folder is created on Zimbra Desktop. Messages put into the Local Folders folder are saved to the computer and deleted from the server.

To archive, Zimbra messages, create folders within Local Folders and move messages to these folders. We can also drag an entire personal folder to the Local Folder. The next time we sync, the messages we move to the Local Folders folder are removed from the server. Messages in the Local Folders folder are not available when we directly log in to the Zimbra account.

Note that when we delete files from the Local Folder, they are not placed in the Trash folder, but are erased instantly.

How to archive messages for the other email accounts?

We can use Zimbra Desktop to build folders that do not sync back to the server for the other email accounts we set up. When a message is transferred to a folder that does not sync, the messages are erased from the server the next time Zimbra Desktop syncs to the account. Messages in these folders are not accessible when we log in directly to the account.

  • To make a new archive folder, pick the account in Zimbra Desktop, then right-click and select New Folder from the Folders menu.
  • Choose a name for the folder and a location for it.
  • After this press the OK button.
  • Select that folder, then right-click and select Turn off sync.

We have the option to turn off the sync on any of the personal folders. Note that While turning off the sync, the green ball disappears from next to the folder.

Messages moved to a folder that does not sync back to your account are removed from the server.
